Policies & Terms of Stay

Last updated October 27, 2026

These Policies & Terms of Stay ("Terms") are an agreement between you and Halbert Capital LLC, the owner and operator of The Mohawk Valley Inn ("the Inn," "we," "us"). By using this website, making a reservation, paying for a stay, or staying at the Inn, you agree to these Terms on behalf of yourself and everyone in your party. Please read them before booking.

Cancellation policy at a glance

If you cancel… Refund
Within 48 hours of booking, and check-in is 14+ days away 100% of the amount paid
30 or more days before check-in 100% of the amount paid
7 to 29 days before check-in 50% of the amount paid
Fewer than 7 days before check-in, or no-show No refund

1. Reservations and payment

  • The person who makes the reservation (the "Booking Guest") must be at least 21 years old and must stay at the Inn for the whole reservation. The Booking Guest is responsible for every member of the party and for all charges.
  • A reservation is confirmed only when we send a written confirmation. Requests to book are not confirmed until we approve them.
  • Unless we agree otherwise in writing, the full amount of the stay is due at booking or when we confirm a booking request.
  • Rates are in U.S. dollars and include the cleaning fee shown at checkout. Applicable State of Texas and local hotel occupancy taxes are added to every stay. If tax rates change before your stay, the rate in effect on your stay dates applies.
  • If a rate is shown in error, we may correct it before your stay. If you don't accept the corrected rate, we'll cancel the reservation and refund everything you paid.

2. Cancellations, changes and no-shows

  • How days are counted. Days are counted back from 4:00 PM Central Time on your check-in date. A cancellation counts as received on the date and time we receive it by email at the address on our Contact page, or through your reservation link.
  • Within 48 hours of booking, if your check-in is still 14 or more days away: we refund 100% of the amount paid.
  • 30 or more days before check-in: we refund 100% of the amount paid.
  • 7 to 29 days before check-in: we refund 50% of the amount paid.
  • Fewer than 7 days before check-in: no refund.
  • No-shows are charged the full reservation and receive no refund.
  • Early departures: we don't refund unused nights if you leave early for any reason.
  • Date changes. We may move a reservation to new dates once, if you ask 14 or more days before check-in and the new dates are available. Any difference in price applies. A change requested fewer than 14 days before check-in is treated as a cancellation under the schedule above, followed by a new booking.
  • Fewer guests or nights. Reducing the number of nights is treated as a partial cancellation under the schedule above. Reducing the number of guests does not change the price.
  • Weather, travel and illness. Bad weather, travel delays, illness, family emergencies and similar events outside our control are not grounds for a refund beyond what this schedule provides. We strongly recommend travel insurance.
  • Whole-house reservations follow the same schedule. Because a whole-house booking takes all four suites off the market, we can't offer partial refunds for suites left unused.
  • If we have to cancel. If the Inn becomes unavailable because of damage to the property, a utility failure, government order, or another event beyond our reasonable control, we'll notify you as soon as we can and refund the amount you paid for the affected nights. That refund is your only remedy, and we're not responsible for other costs such as travel or alternative lodging.

3. Check-in and check-out

  • Check-in is after 4:00 PM. Check-out is by 10:00 AM.
  • Early check-in and late check-out are available only with our approval in advance. If you stay past check-out without approval, we may charge for an additional night.
  • We may ask for a government-issued photo ID that matches the Booking Guest's name.

4. Occupancy

  • Each suite and the whole house have the maximum occupancy shown on their booking pages. Only guests registered on the reservation may stay overnight.
  • Visitors who aren't registered guests aren't allowed without our prior approval and must leave by 10:00 PM.
  • Exceeding the listed occupancy is a violation of these Terms.

5. House rules

  • No smoking or vaping of any kind anywhere inside the Inn, on the porches, or within 25 feet of the building. A violation incurs a $250 cleaning fee plus the cost of any damage.
  • No candles, incense, open flames or space heaters. The Inn is a historic timber-frame building.
  • No pets. Service animals, as defined by the Americans with Disabilities Act, are welcome. Please let us know in advance if one will be with you. Emotional support animals and pets aren't permitted, and bringing one may result in removal and a $250 cleaning fee.
  • No parties or events (weddings, showers, photo shoots, commercial filming and similar) without our prior written approval. Approved events may carry extra fees.
  • Quiet hours are 10:00 PM to 7:00 AM. Please be mindful of guests in the other suites.
  • Shared spaces. The kitchen, laundry and common rooms are shared unless you've booked the whole house. Please clean up after yourself and leave them as you found them.
  • Fireworks and illegal substances are prohibited on the property.
  • Please respect any areas marked private or staff-only.

6. Damage and incidental charges

  • The Booking Guest is responsible for any loss of or damage to the Inn, its furnishings, or its grounds caused by anyone in their party or their visitors, beyond normal wear and tear.
  • By booking, you authorize us to charge the payment method on file for:
    • the cost to repair or replace anything damaged or missing,
    • extra cleaning beyond normal turnover, starting at $150,
    • lost keys, and
    • any fees described in these Terms.
  • We'll notify you with a description, and photos where available, within 14 days after check-out. Charges larger than the payment method allows remain the Booking Guest's responsibility.

7. A historic home

The Inn was built around 1817 and keeps its original character, including uneven plank floors, steep staircases, low doorways and beams, original doors and hardware, and older-style windows and railings. Please take care moving around the house, especially at night and on the stairs. Children must be supervised by an adult at all times. Please don't climb on, remove or alter any original architectural features.

8. Assumption of risk and limitation of liability

  • You stay at the Inn and use its grounds at your own risk. To the fullest extent permitted by Texas law, Halbert Capital LLC and its members, managers, employees and agents are not liable for any injury, illness, loss or damage arising from your stay, unless it was caused by our gross negligence or willful misconduct.
  • We're not responsible for lost, stolen or damaged personal property, including items left in suites, common areas or vehicles. Please don't bring valuables you can't keep with you.
  • To the fullest extent permitted by law, our total liability for any claim relating to a stay is limited to the amount you paid for that stay.
  • We aren't responsible for interruptions to utilities, Wi-Fi, appliances or other services, or for noise or activity on neighboring properties. We'll make reasonable efforts to fix problems within our control.

9. Our right to refuse service or end a stay

We may refuse or cancel a reservation, or require any guest to leave the property, if a guest:

  • breaks these Terms or the law,
  • is disorderly or threatens the safety or comfort of other guests, staff or neighbors,
  • damages the property, or
  • gave false information when booking.

If we end a stay for any of these reasons, no refund is owed, and the Booking Guest remains responsible for all charges and damages.

10. Airbnb, other platforms and calendar syncing

  • Platform bookings. If you booked through Airbnb or another platform, that platform's cancellation and refund policy applies to your reservation. Everything else in these Terms, including the house rules, damage policy and limits of liability, still applies to your stay to the extent the platform's terms allow.
  • Shared calendars. The Inn's suites and the whole house are offered on this website and on Airbnb and other platforms at the same time. Our calendars sync automatically with those platforms, but syncing isn't instant and depends on systems we don't control. Availability shown on this website or any platform is not guaranteed until we've confirmed your reservation.
  • Double bookings and sync errors. If the same dates are reserved twice because of a calendar delay, a platform or software error, or a pricing or availability error, we decide which reservation is honored. Usually we honor the one confirmed first. For the other reservation, we'll contact you promptly and, at our option, either:
    • move you to another suite or set of dates of equal or greater value, if one is available and you accept it, or
    • cancel the reservation and refund 100% of the amount you paid to us.
  • Your only remedy. That relocation or full refund is your sole and exclusive remedy for a double booking or sync error. To the fullest extent permitted by law, we're not liable for any other costs, including travel, alternative lodging, event costs or any other expenses or damages.
  • Third-party systems. We aren't responsible for outages, errors, data loss or policy changes at Airbnb, payment processors, calendar services or any other third-party system we use to manage reservations.

11. Payment disputes

If you have a problem with a charge, please contact us first so we can try to resolve it. By booking, you agree that a cancellation or charge made under these Terms is not a valid reason to dispute it with your card issuer. We may give your card issuer a copy of these Terms, your booking record and your acceptance of these Terms.

12. Privacy

We use the information you give us only to manage your reservation, communicate with you, and meet our legal and tax obligations. We don't sell your personal information. Payments are processed by our payment provider, and we don't store your full card number.

13. Website information, errors and third parties

  • No guarantee of accuracy. We try to keep this website, our listings and our messages accurate and up to date, but we don't promise that all information is complete, current or error-free. Information is provided "as is." We assume no responsibility for typographical errors, inaccuracies or omissions. We may correct them at any time, including after you've booked. If a correction materially changes your reservation, you may cancel for a full refund, and that is your only remedy.
  • Photos and descriptions. Photos, floor plans, furnishings, décor and descriptions are for illustration and may not reflect the exact suite, view, layout or furnishings you receive. Furnishings and décor may change.
  • Amenities and services (including Wi-Fi, appliances, coffee stations and shared spaces) may change, or be temporarily unavailable for maintenance or repair, without notice. That doesn't entitle you to a refund.
  • Third-party information and links. Our Explore page, blog and other content mention or link to restaurants, shops, attractions, events, streaming services and other businesses we don't own or control, including the Homestead Heritage Craft Village. We provide this only as a convenience. We don't endorse, guarantee or take responsibility for their accuracy, availability, hours, prices, safety, quality or policies. Please confirm details with them directly. Any dealings you have with a third party are solely between you and that third party.
  • Blog and general content is for general information and entertainment only, and isn't professional, travel, legal or safety advice.
  • Website availability. We don't guarantee that the website or booking system will be uninterrupted, secure or free of errors or viruses. We aren't liable for any loss caused by your use of the website, or by being unable to use it.

14. Governing law and venue

These Terms, your use of this website, and any stay at the Inn are governed by the laws of the State of Texas, without regard to conflict-of-law rules. Any dispute arising from these Terms, this website or a stay at the Inn must be brought exclusively in the state or federal courts located in McLennan County, Texas. You consent to the jurisdiction of those courts.

15. Other terms

  • If any part of these Terms is found unenforceable, the rest remains in effect.
  • Our failure to enforce any part of these Terms is not a waiver of it.
  • These Terms, together with your reservation confirmation, are the entire agreement about your stay.
  • We may update these Terms from time to time. The version in effect when you book applies to that reservation.
